How to convert Excel to PDF
- Add the spreadsheet. Drag an .xlsx, .xls or .csv file onto the drop area, or select Select Spreadsheet. A preview of the first sheet appears with its rows and columns counted.
- Choose what to export. Click a sheet tab above the preview to make it the current sheet. Leave Export Scope on Current Sheet Only, or switch to All Sheets in One PDF.
- Set up the page. The defaults are A4, Landscape, Normal margins and 8 pt text. For wide sheets, try A3 or 7 pt. Pick Grid, Striped or Plain under Table Style.
- Create the PDF. Select Create PDF. The file downloads with the name in Output File Name.
How the Excel to PDF converter lays out your sheet
The converter reads the workbook with SheetJS and draws each sheet as a table with jsPDF. It exports the sheet's used range, every row and column that holds data, and ignores any print area or page breaks set in Excel.
- Header row: with Repeat Header Row on Yes, row 1 becomes a bold header that repeats at the top of every page. Choose No and the columns are labelled A, B, C instead, with row 1 treated as data.
- Title: Show Title prints the file name and "Sheet: Name" above the table.
- Blank cells: filled with a dash by default. Type a different placeholder in the Empty Cells box, or clear the box to leave them blank.
- Page numbers: added at the bottom right of every page.
The preview shows the first 250 rows to keep the page responsive. The PDF still includes every row, so a big sheet can run to dozens of pages. If it's too large to email, shrink it with Compress PDF. For a Word document, use the Word to PDF converter instead.
Excel to PDF fit to one page: handling wide sheets
This tool always fits every column across the width of one page. Long cell text wraps inside its cell, and extra rows continue onto the next pages under a repeated header. So you never get a PDF where columns J to P land on a separate page, which is the usual problem when Excel prints a wide sheet.
With many columns, the cells get narrow and tall. To make them more readable, combine these settings: Orientation Landscape, Page Size A3, Margins Narrow and Table Font Size 7 pt.
If the whole sheet must fit on a single page, set that up in Excel instead. On the Page Layout tab, in the Scale to Fit group, set Width to 1 page and Height to 1 page, then save as PDF. Very long sheets will shrink to tiny text, so Height set to Automatic is often the better choice.
What doesn't carry over from Excel
The PDF shows your data, not your sheet's design. Check these before you send it:

Text uses the standard Helvetica font, so Chinese, Arabic, Hindi or Cyrillic characters won't display correctly. For a sheet that needs its exact cell styling or charts, export from Excel or Google Sheets (below). To combine the PDF with a report or cover letter, use Merge PDF.

Microsoft Excel on Windows
Choose File › Export › Create PDF/XPS, then select Options. Under Publish what, pick Active sheet(s), Selection or Entire workbook, select OK, then Publish. You can also use File › Save As and choose PDF in the Save as type list.
